Inviting Members
By inviting team members to your business's HaveAI workspace, you can manage conversations together. Each person signs in with their own account. The sections they can see and the actions they can take depend on the permissions given to them.
Before You Start
You must have team management permission to send invitations and manage members. The number of members you can add depends on your account's plan. If you have reached the member limit, check the existing members and the limit in your plan before creating a new invitation.
For the invitation, get the email address the person will use in HaveAI. The invitation is tied to this address; it cannot be accepted with another email account.

When choosing a role, base it on the person's duty. An employee who will answer customer messages may not need billing or team management access. For details, review the Roles and Permissions guide.
How Is an Invitation Accepted?
The invited person opens the link in the email and completes the steps to join the team.
- If they have a HaveAI account: they sign in with the email address the invitation was sent to and accept the invitation.
- If they do not have a HaveAI account: they join the team by completing the registration steps on the invitation screen.
- If they continue with Google: the email address of the Google account they choose must be the same as the address the invitation was sent to.
When acceptance is complete, the person's status appears as active in the team list. The member works in your business's workspace with the permissions given to them.
How Long Is an Invitation Valid?
The invitation link is valid for 7 days. When it expires, resend the invitation.
A new link is created on resend. The invited person must use the link in the most recent email; the previous link becomes invalid.
If the Invitation Did Not Arrive
First check that the email address is spelled correctly. Ask the invited person to also check the spam or junk email folder along with the inbox.
If the invitation has not been accepted yet, you can use the resend option in the team list. If the person is already an active member, you do not need to send a new invitation.
If you created an invitation to the wrong email address, remove the pending invitation and create a new one with the correct address.
Membership in Another Team
A user can be an active member of only one team at a time. A person who is in another team must leave their current team before accepting the new invitation.
Account owners who have active team members in their own workspace also cannot join another team directly. If you will make such a transition, plan in advance how you will maintain your current team's access and operation.
Change Roles and Permissions
If you have team management permission, you can select the relevant person from the member list and edit their role and person-specific permissions. When you select a new role, review the permission list again and then save.
You cannot change your own role or permissions from this screen. If your access needs to be changed, talk to the account owner or your authorized administrator.
Cancelling an Invitation and Removing a Member
You can cancel an invitation that has not been accepted yet by removing it from the team list.
When you remove an active member from the team, the person's membership in your business's workspace ends. This action does not completely delete the person's HaveAI account. Before removing the member, determine who will follow up the conversations they were handling.
Leaving the Team Voluntarily
If you are a member of a team, you can use the Profile β Leave Team option. When you leave, your access in the team workspace ends and you return to your own account.
Prepare Members Who Will Provide Live Support
For a person who joins the team to receive live conversations, check the permissions to view and reply to messages. Then complete the agent information in the Human Handoff section.
The agent profile includes language, expertise, the number of conversations that can be received at the same time, working hours and availability status. Joining the team does not by itself mean the agent is ready to receive conversations.
